The Operations Manager will assist the Senior Property Manager in overseeing the operations of a large mixed-use center. The Operations Manager has a thorough understanding of (and ability to manage) mechanical systems, construction practices, preventative maintenance, and government regulations. This position requires a comprehensive understanding of operations methods and understands the need to increase profitability and will keep common area costs under control. This individual administers the physical operations of the project, oversees general and preventative property maintenance, construction coordination, public safety, housekeeping, and other contracted services. This position is also responsible for forecasting property expenses, managing capital projects, preparing operational reports, assisting with specialty leasing and marketing programs, and identifying and resolving problems. PRINCIPLE DUTIES: OPERATIONS - - Ensure that the daily operations of properties, including building systems, mechanical, parking, sweeping, landscaping, and general maintenance are executed in a manner that is consistent with company standards.
- Serve as the point of contact for all tenant concerns and requests including after-hour emergencies.
- Work closely with the residential management staff on day-to-day operational issues.
- Create, update and manage a five-year Capital plan for the properties.
- Administer all State and Federal required reports and safety documentation.
- Coordinate repairs and upgrades to existing facilities.
- Create scopes of work as needed for bid purposes - obtain estimates, review and negotiate contracts, obtain necessary permits, and award contracts to subcontractors. Oversee work and monitor services of contractors to ensure work is carried out properly. Complete final inspection and documentation of construction/repair work and confirm that work meets tenant/company requirements.
- Perform regular inspections of properties, primarily common areas, dependent upon landlord obligations, location, and current projects on site. Maintain an excellent exterior appearance of the retail centers (or other properties) including façade, landscaping and parking lot upkeep, etc.
- Understand all emergency management policies for property management including plumbing, electrical, telephone, fire, law enforcement, and lighting.
- Manage onsite operations staff including vendors and contractors
- Correspond with local municipal authorities regarding notices and enforcement of local ordinance and codes.
- Properly issue purchase orders and approve invoices and provide support documentation to expedite the payment process.
CONSTRUCTION - - Perform pre/post vacancy tenant inspections.
- Support the Leasing Department with budgets, estimating landlord work, and tasks for prospective and/or current tenant deals.
- Coordinate with Architects for the preparation of lease outline drawings.
- Review work letters and lease language to protect the landlord’s interest.
- Prepare and update project status reports weekly, or as needed.
- Review tenant construction documents to maintain landlord standards.
- Hold pre-construction meetings with the tenants’ general contractor, routine site visits, and punch walks.
- Track all projects and communicate progress to upper management to work within timeframe and budgets
