Manage all aspects of maintaining Class A commercial real estate portfolio including the physical appearance of properties, safety features, mechanical systems, and capital improvements while supporting excellent relationships with ownership, government authorities, and tenants.
Prepare and implement annual operating expense and capital budgets to maintain properties and control costs.
Control bid process for all work to be completed at properties ensuring proper qualifications of subcontractors and vendors including proper licensing, insurance, etc.
Negotiate contracts and service agreements with vendors/contractors for maintenance of properties ensuring timely completion of work, cost, payment terms, and proper insurance coverage.
Conduct regular property inspections and prepare reports for ownership assuring properties are being maintained to the highest commercial standards.
Review and approve invoices for shopping center expenditures assuring billing in accordance with contracts/agreements, proper general ledger coding, appropriate lien waivers have been obtained, and all amounts billed are for completed and accepted work.
Effectively represent landlord in all daily operations of the properties. Maintain positive landlord-tenant relations.
Respond to tenant requests and inquiries concerning common area maintenance and other property matters.
Understand tenant billing matters for CAM to ensure work performed is properly billable to tenants, approvals are obtained when necessary, and support leasing/accounting in collection of billed expenses.
Develop/maintain relationships with the local municipalities and authorities to establish lines of communication and efficiently respond to issues.
Work with municipal and government authorities to obtain permits and approvals for necessary improvements.
Identify and implement plans to improve the asset, either physically, operationally, and/or procedurally.
Work cooperatively with the leasing team to provide unit information including condition of vacant spaces, mechanical system operation, required repairs, and provide access as necessary.
Work cooperatively with leasing team and tenant representatives to obtain bids for landlord-required tenant improvements in accordance with each lease engaging applicable architects, engineers, and other professionals as necessary.
Upon lease execution, negotiate contract and manage construction of tenant fit-out through completion of turnover of space to tenant.
Monitor all tenant construction for compliance with approved plans and ensure that all required documents are received in a timely manner.
Work closely with company leasing representatives to ensure effective coordination of tenant openings and closings.
Work with insurance carriers and consultants to identify risk management issues, respond to legal notices and conduct internal investigations as necessary.
Manage and participate in the claim's litigation process with our insurance consultant and insurance earners.
Maintain effective communication with owners; maintain appropriate documentation of all critical items.
Identify and correct (or plan for the correction of) physical property needs, operational procedures, etc.
Be available after hours and weekends to respond to critical tenant and property issues as necessary.
Represent the company in a professional and courteous manner, at all times.
Prepare periodic reports for ownership as to status of all property matters, work in process, budget variances, and any tenant issues.
Four-year college degree or equivalent work experience.
5+ years experience in property management and commercial operations
Excellent written and verbal communication skills
