The position of the Assistant Property manager is primarily to assist their assigned Property Manager with all facets of the operation of the property. The Assistant Property Manager’s level of involvement will be determined by the Property Manager to whom each assistant is assigned. Specific responsibilities performed may vary according to the Property Manager’s direction.
Performing periodic site inspections
Assisting the Property Manager in collection of delinquent rent and other charges, but it is expected that the Property Manager will directly handle any negotiations with severely delinquent tenants
Researching and preparing default letters
Assisting in review of common area maintenance reconciliation in conjunction with the CAM recoveries team and the Property Manager
Coding of vendor invoices
Completing tenant account reconciliations and account adjustments with review from the lease administration team
Preparing the initial components of monthly reports
Assisting Property Manager in the preparation and collection of estoppel certificates
Preparing “What’s Happening” notices for projects
Maintaining updated service contracts for all properties
Keeping updated certificate of insurance information for tenants and contractors
Maintaining updated records of real estate licenses
Sustaining updated tenant and contractor lists
Tracking and implementing rental increases with assistance from Accounting and Property Manager
Assisting Property Manager in collection/review of gross sales information
Handling and tracking all work orders for properties
It is intended that the Assistant Property Manager will work closely with the Property Manager on each property to form a team to properly operate the shopping center or office building. Although ultimate responsibility rests with the Property Manager for completion of all tasks with regard to the property, it is expected that the Assistant Property Manager will have a great deal of responsibility in the successful operation of the property. Furthermore, it is intended that the Assistant Property Manager should be trained by the Property Manager to perform all duties expected of the Property Manager.
