The Senior Property Manager will manage all aspects of a single property or portfolio of commercial and retail properties. This individual will oversee all marketing, operations, and financial activities. The Senior Property Manager will provide formal supervision, prepare, and deliver performance appraisals to the Property Manager and Assistant Property Manager. This role should lead by example and models behaviors that are consistent with the company's values.
Property Manager and Assistant Property Manager(s)
Control the day-to day property management responsibilities for retail centers located in assigned portfolio, as well as overseeing PM and their portfolio.
Administer rent payment provisions and oversee rent collections for assigned portfolio as well as PM's portfolio. Negotiate and approve payment plans and conduct monthly AR meetings with PM.
Diligent completion of internal reports and review such as, but not limited to, delinquency reports, income and expense variance, inspections, lease profiles, post possession legal, expense reports, and rent rolls for assigned portfolio as well as reviewing PM's portfolio.
Oversee the preparation of all legal documents for assigned portfolio and PM's portfolio (defaults, lease confirmations, etc.).
Prepare and monitor operating budgets for assigned portfolio as well as reviewing PM's portfolio. Ensure budgeted work is completed, and invoices paid, within the month budgeted for assigned portfolio and PM's portfolio.
Review and approve CAM billings and adjustments, including the approval and implementation of the NNN reconciliations annually for assigned portfolio and PM's portfolio.
Assist Construction Coordinator with inspections and updates on routine construction, such as remodeling, and tenant finish out. Ensure lease contingencies have been met. Also review all construction related events and timing for PM's portfolio.
Update and represent Property Owners on legal issues including Unlawful Detainer actions and Small Claims. Oversee post possession activities and work with outside counsel to collect outstanding balances for assigned portfolio and PM's portfolio.
Clear communication with Tenants, Vendors, Personnel, and Property Owners. Set and follow standard timelines listed in the policy and procedures manual for returning phone calls and emails.
Build vendor relationships. Assist with establishing national accounts, including, but not limited to attending conferences such as BOMA, IREM and ICSC as needed.
Coordinate/Supervise vendors and maintenance personnel. Set expectations and follow-through to hold them accountable.
Establish intra-department relationships, including procedures and checklists relating to other departments to increase communication, efficiency, and productivity.
Visit local properties at least once a month and out of town properties at least once a quarter, or more often, as needed for assigned portfolio. Visit and inspect PM's portfolio annually at a minimum.
Direct supervision of Property Manager and Assistant Property Manager(s) as assigned.
Conduct regular meetings with PM(s), weekly at a minimum, including the review and approval of PM's capital and MOE, ensuring all contract amounts fall within budget.
Provide mentoring for Property Manager(s) in all management areas, including coaching, collaboration, setting standards and accountability.
Submit and review property inspections on a quarterly basis for assigned portfolio as well as reviewing the inspections for PM's portfolio.
Report and monitor incidents as they occur to mitigate liability risk.
Ensure that all fire life safety inspections and needed maintenance are completed in a timely manner as required for both portfolios.
