The VP or Director of Property Management will report to the VP of Asset Management. Ultimately, this person will be responsible for the operations and growth, as well as the financial performance of the Property Management department; mentoring and supervising the portfolio managers who manage a portfolio of properties including but not limited to: Industrial, flex, warehouse, and office) across multiple states. The position requires commercial property management experience. This includes the day-to-day implementation of those policies, procedures, and programs that will assure well managed, well-maintained properties, while placing maximum emphasis on positive response to the concerns and needs of the owners and tenants, in a manner which fosters growth in terms of clients and the profits of both the Property Management Department and owners of properties. The Director will be responsible for a core profit center of the Property Management Department.
Specific Responsibilities:
Active part of the executive team responsible to develop annual business plans, goals, strategies, and budgets (operating and capital) for the property management division, and for each property managed by the division.
Provide leadership to the property management team and mentor property managers in a manner which involves the setting and achieving of goals and objectives which must be fully aligned with company plans and objectives.
Responsible for staff recruiting, professional development of property managers and support staff in a team environment. This person will train, review, and supervise personnel and will develop processes for the division to ensure that the team is performing at an optimal level at all times.
Work closely with the accounting department to ensure that the financial reports, which include but are not limited to, monthly property financial reports and budgets are complete and accurate and delivered on time. The goal of the financial, operational and other reports issued by the Property Management Department include providing Lenders, Owners and others within the Company accurate and timely information in accordance with the leases, management contracts and loan covenants and requirements.
Regularly communicate with Owners and internal and external customers of Property Owners and Company to ensure that property managers are providing excellent service for the maximum benefit of all these parties and properties.
Develop and promote a customer (which includes owners, tenants and lenders) oriented culture in conjunction with the management and other personnel of Company in a manner which maximizes internal operating efficiency and profitability of Company.
Responsible for management and collection of the accounts receivable of the Property Management Department and of the properties managed. This will involve working with property managers, collections personnel and accounting to ensure receivable issues are being addressed in a timely, professional manner.
Directly manage a portfolio of assets, as necessary.
Management Responsibilities:
Assure effective communications are maintained with management, staff, and customers.
Hold monthly staff meetings, encouraging input from all members of the department and acting on / responding to same.
Develop and achieve short- and long-range operating objectives, including determination of organizational structure and staffing requirements for the department.
Assure that the duties, responsibilities and authority of each position within the department are clearly defined, and effectively communicated to the staff within the department.
Assure that the management, training and development needs of each staff member are identified and addressed.
Assure that qualified personnel are selected and that specific job orientation training programs are developed conducted and achieve objective of making staff fully functional in their positions. Work closely on a daily basis with all staff.
Identify and develop an adequate plan for backup and succession of management and other key personnel.
Provides prompt and objective coaching and counseling to staff of department. Completes performance appraisals, at least annually for staff of department.
Ensure that the company’s management principles, policies, and programs are consistently adhered to by the staff of department.
Immediately address and resolve problems as they arise within the department.
Be available outside normal business hours to respond to Property Managers and Tenants to timely communicate and resolve issues as they arise. Escalate as necessary issues to the VP of Asset Management.
Ensure optimum performance of self and all staff members. Recommends and implements techniques to improve productivity, increase efficiencies, cut costs, and maintain best practices and procedures.
Requirements:
Minimum five years of commercial property management experience as a portfolio manager.
Minimum five years’ experience managing a property management division/company at the business and strategic planning level in the Philadelphia market.
Exceptional experience leading and motivating people to superior performance.
Hands-on, high-energy performer able to multitask.
Must have “Get it done” attitude.
Ability to establish strong interpersonal relationships with team members, tenants and vendors as well as other management staff and the owners of Company.
Strong organizational skills, ability to prioritize work and strong attention to detail.
Ability to adapt to change within the organization and in an environment of changing needs.
Proven verbal and written communication skills.
Proven competence with MS Office programs; Solid organizational skills with a demonstrated ability to multi-task; Yardi Accounting Software a plus
Education:
Bachelor’s degree in real estate, finance, accounting, economics or business-related field required (or equivalent work experience).
