The Commercial Project Coordinator is involved in every aspect of our Commercial/Shopping Center portfolios. Core responsibilities include making sure deal flow is optimized and that inbound requests from our partners, internally and externally are prioritized and executed by the acquisitions team in a timely manner.
This candidate needs to be detailed oriented and a strong communicator that can work independently and possess a high level of competence in performing a full range of portfolio responsibilities in an extremely fast paced environment with a high degree of ambiguity. The Commercial Project Coordinator will also assist the company President with both business and personal tasks.
The ideal candidate has a real estate background and possesses a thorough understanding of how real estate project cycles flow from acquisition to disposition.
Essential Duties & Responsibilities
Efficiently manages a pipeline of projects to hit established target cycle times
Understands loan, title, appraisal concepts and terminology
Independently responsible for verifying accuracy of all transaction details prior to closing
Act as the point of contact and communicate project status to all participants, internally and externally
Schedules and facilitates project meetings, due diligence meetings and project closings
Facilitate the preparation, modification, redlining and execution of PSAs, leases, lease abstracts and LOIs
Maintain our system to ensure all insurance fee schedules are current and up to date, while managing all insurance-related request and reports for incoming projects
Manages the due diligence process, follows up on trailing documents as needed; processes and delivers to project owner. Including but not limited to, appraisal, title work, surveys, geotechnical and environmental.
Manage the creation of the Investment Summary (using a company template) used to attract investors to each investment
Assists in creation of Competitive Market Analysis for lease rates near subject property
Super Admin of project management site: Dealpath, Trello, or Basecamp
Enters & reconciles operating company expenses in Quickbooks Online, as well as deposit and account for checks paid to operating company
Prepares PowerPoint presentations for the monthly leasing team meeting
Screen calls and voicemails received by the company President
Supports company President by running business and personal errands as needed
Monthly report coordination for Leadership review
Identify opportunities to improve quality and services, and participate in their implementation
Miscellaneous tasks as assigned
Requirements:
Self-Starter with the ability to work in a team environment and independently when required
Highly organized and thorough
Demonstrate the ability to be proactive in judgement, multi-task and be punctual and timely in performing task that meet project timelines
Ability to read, write, analyze and comprehend simple instructions, routine business correspondence, due diligence documents to include but not limited to: surveys, title work, appraisals, contracts and commercial loan documentation
Ability to prepare and interpret flowcharts, schedules and step-by-step action plans
Willing to put in the extra hours when needed, but also enjoy the shorter hours when available
