Group and Location: Asset & Property Management – Domain Northside (Austin, TX)
Reports to: Vice President/Senior General Manager
SUMMARY: Responsible for overseeing the day-to-day operations of the office & retail property in a manner which enhances the value and maximizes profitability as well as ensures all goals of the company and property are achieved. This position requires the effective administration of all property operations including financial performance and reporting, office & retail management, special events, assisting with rental collections, expense control; develops and sustains strong relationships with tenants, vendors, and other key partners; and other duties as assigned. In this capacity the Commercial Property Manager is responsible for partnering with the Vice President/Senior General Manager, Senior Operations Manager, and other members of the property management team to ensure the property in its entirety and its tenants are exceeding expectations.
KEY AREAS OF RESPONSIBILITY:
Operations and Management
Oversees onsite engineering team and ensures all work orders and preventive maintenance tasks are completed on time and within budget.
Assists in the implementation, execution and on-going deliverance of all Key Performance Indicators (KPIs).
Ensures all common areas (Retail and Office) are clean and always maintained at a first-class level.
Partners with VP/Senior General Manager in the review and approval of expenses within budget guidelines.
Control expenses including assisting in the negotiation of contracts, authorizing expenditures, reviewing monthly profit and loss statement.
Assists with collections of monthly receivables as requested by the VP/Senior General Manager.
Assist with management of contract services, including negotiation, renewals, supervision and termination.
Partners with Senior Operations Manager and VP/ Senior General Manager on the implementation and continuous management of the property’s emergency and fire/life safety policies and procedures.
Collaborates with Corporate, VP/Senior General Manager and other departments to prepare the annual operating budgets for the property.
Works with Accounting on discrepancies, accuracy and ensures all reports are provided and approved by VP/Senior General Manager within the appropriate and requested timeframes to Corporate.
Inspects the interior/exterior of the property on a daily basis and follows up on any deficiencies noted.
Partner with Senior Marketing Director in hosting events and finding opportunities to promote the property to the community.
Strategic Relationships
Builds and maintains relationships with tenants, vendors, key community members and city departments, and competition within the market.
Meets with and addresses any concerns/issues that arise within these relationships.
Networks and gets involved in community and reach key local players/partners to drive business to property.
Security & Parking
Assist the VP/General Manager in managing the relationship with security, parking enforcement and valet parking vendors to ensure all needs of tenants, customers, and visitors are being met.
Ensures that all areas of the property are staffed appropriately at all times of the day with security and valet.
Works with team to ensure heightened security when VIP clientele are visiting property.
Ensure parking structures are pristine and security is available to address any concerns that may arise.
Assists the VP/Senior General Manager with management of the 5 onsite Garage Condo Associations.
Office & Retail Property Management
Works with Senior Operations Manager in ensuring that vacant spaces are presentable and accessible to the leasing team and potential clients.
Works with VP/Senior General Manager in managing the office & retail property management team ensuring that the property is performing optimally and according to the approved budget, and reports to the VP/Senior General Manager any inconsistencies with the property’s performance and/or physical attributes.
Takes lead in the performance and coordinates with the Property Administrator and accounting to ensure that proper CAM/Tax reconciliations are completed and submitted to the VP/Senior General Manager for approval in Q1 of each year in order to be approved and sent to all tenant no later than March 15th of each year.
Ensures a monthly review of the posting of the monthly rent roll detailing monthly rental, CAM and other charges for all tenants, monitoring and ensuring that any rental increases outlined in the leases are properly reflected in the monthly posted charges. If there are any rental increases, the Commercial Property Manager and Property Administrator will ensure that the tenant receives a letter informing them of the increase minimally 30 days prior to the increase.
Conducts daily/weekly/monthly site visits with all tenants. Create and manage a monitoring system that outlines all observations and follow-up items that need to be addressed including discussion points to help maintain the high standards of customer service that Northwood Retail expects.
Conducts weekly meetings with the property management team to ensure that the property is maintained in a best practice and clean manner and that the Commercial Property Manager is properly monitoring and managing the onsite staff. These meetings will also cover property management’s site visit reports and follow-up action items that need to be completed and subsequently ensure that all these items have been completed and documented.
Working with the VP/Senior General Manager and Senior Operations Manager to ensure the creation, continual monitoring and updating of a 5 and 10 year physical and equipment assessment report for the property.
REQUIREMENTS:
BS/BA degree or equivalent experience.
5+ years or more experience in mixed-use, retail and office property management.
CSM/CRRP/CPM designation preferred.
Proficient in all aspects of Microsoft Office with advanced Excel capabilities and experience with ANGUS and MRI preferred.
Ability to multi-task and handle multiple priorities while managing aggressive deadlines.
High sense of urgency and ability to work independently. Adapts well to change and demonstrates ability to develop and implement process/system improvements.
Strong background in real estate & commercial & retail analysis.
Proven track record to drive and implement strategic initiatives.
Demonstrated ability to manage multiple projects and be able to prioritize in a fast paced environment.
Must be data oriented and have proven ability to interpret and synthesize data, make recommendations to drive business decisions.
Critical thinker; exceptional analytical and problem solving skills.
