The Assistant Property Manager supports the Senior Property Manager in the day-to-day operations and management of a retail portfolio. This role involves coordinating tenant relations, assisting with budgeting and financial reporting, overseeing vendors and maintenance activities, and ensuring the properties are maintained to the highest standards. The ideal candidate is detail-oriented, proactive, and experienced in commercial property management.
What You’ll do:
Responds to tenant needs with a sense of urgency, ensuring any issues or repairs are addressed and resolved promptly and in a cost-effective manner
Ensures services are provided in compliance with company policies, procedures, regulations, and contractual obligations and standards
Inspect properties regularly to ensure company and tenant expectations for curb appeal, cleaning, etc. are met
Provide after-hours support for property-related emergencies when necessary
Hold vendors accountable for meeting company and contract schedules and specifications
Ensure invoices are processed accurately and in accordance with established procedures, with appropriate backup documentation
Assist in lease administration activities including abstracts
Assist with property onboarding, ensuring a smooth transition for clients and tenants
Obtain aging reports and follow up on all delinquencies
Ensure accurate tenant bill-backs are processed and follow up as needed
Track and notify tenants of rent escalations
Coordinate tenants move-ins and move-outs
Ensure Certificates of Insurance for tenants and vendors are compliant
Assist Senior PM with all aspects of annual budgets, CAM reconciliations and monthly financial reporting
What You’ll Need:
Bachelor’s degree preferred
Active Utah Real Estate License is required (or ability to attain within 6 months)
1-2+ years of experience in commercial property management
Experience with property management software is a plus (Yardi, AvidXchange or similar programs)
Detailed oriented and organized with the ability to manage several tasks at once and organize workflow according to task importance and time sensitivity
Strong verbal and written communication skills; prior experience communicating with tenants and/or vendors in a professional, courteous environment
Ability to comprehend, analyze, and interpret documents
Humbly take direction and work with minimal oversight
Innovative and creative thinking to improve processes and procedures
Intermediate to advanced skills with Microsoft Office Suite
